Professional Conduct and Nondiscrimination Policy 

OT4ADHD will uphold high standards of professional conduct and ensure that discrimination or unethical behavior is not tolerated within the organization or among instructors. OT4ADHD will promote diversity, inclusivity, and respect for all learners, regardless of gender, age, socioeconomic or ethnic background, sexual orientation, or disability. 

Instructors and organizational personnel will be expected to adhere to these guidelines and demonstrate professionalism in their interactions with learners. Any instances of discrimination, deceptive practices, or unethical behavior will be addressed promptly and appropriately.

OT4ADHD LLC is committed to fostering a professional, inclusive, and supportive learning environment for all learners. Our policies reflect our dedication to maintaining high standards of professional conduct and ensuring nondiscrimination on the basis of gender, age, socioeconomic or ethnic background, sexual orientation, or disability.

OT4ADHD LLC  prohibits discrimination, harassment, and unethical behavior in all forms. All instructional personnel are expected to adhere to the highest standards of professional conduct, promoting equality, respect, and integrity in all interactions with learners.

Scope: This policy applies to all OT4ADHD LLC instructional personnel, including but not limited to educators, trainers, mentors, and administrative staff.

Ethical Behavior: Instructors must demonstrate integrity, honesty, and fairness in all educational activities. Confidentiality of learner information must be maintained at all times. 

Respectful Interactions: Instructors must treat all learners with respect, recognizing the inherent dignity of each individual. Communication should be professional, constructive, and free from derogatory or discriminatory language.

Commitment to Excellence:Instructors should strive for continuous improvement in their teaching methods and professional skills.Feedback from learners should be welcomed and used constructively to enhance the learning experience. 

Equal Opportunity: All learners have equal access to educational resources, opportunities, and support services. Discrimination based on gender, age, socioeconomic or ethnic background, sexual orientation, or disability is strictly prohibited.

Inclusive Practices: Instructional materials and activities should reflect diversity and inclusivity. Reasonable accommodations should be provided to ensure all learners can fully participate in educational programs.

Reporting and Addressing Discrimination:Any form of discrimination or harassment should be reported immediately to Lori Flynn, Founder OT4ADHD LLC.  All reports will be investigated promptly and thoroughly, with appropriate action taken to address any issues.

Policy Dissemination: This policy will be included in the OT4ADHD LLC employee handbook and accessible via the organization’s internal portal. New instructional personnel will be required to read and sign a copy of this policy upon hiring to ensure all instructors understand and adhere to the policy. Recertification is required annually to ensure ongoing compliance and awareness..

Support and Resources: Instructors have access to Lori Flynn , Founder OT4ADHD LLC for any questions or concerns regarding the policy.

Feedback Mechanism:Instructors are encouraged to provide feedback on the policy and training program to facilitate continuous improvement.

Monitoring and Evaluation: Compliance with the policy will be monitored through regular evaluations and feedback from learners. Any deviations from the policy will be addressed promptly, with corrective actions implemented as necessary.

Disciplinary Action: Violations of the policy may result in disciplinary action, up to and including termination of employment. The severity of the action will depend on the nature and extent of the violation

Copyright Compliance Policy

OT 4 ADHD LLC recognizes and respects intellectual property rights and is committed to fulfilling our moral and legal obligations regarding the use of copyright-protected works. This policy extends to instructors, webinar participants, As a matter of moral integrity and adherence to copyright law, OT4ADHD sets forth the following policies for all employees:

No employee of OT4ADHD LLC may reproduce any copyrighted work in print, video, or digital form in violation of the law. Copyrighted works include, but are not limited to: printed articles, electronic articles, videos, movies, TV and radio programs, recorded music performances, images, training materials, manuals, documentation, software programs, databases, websites, and blogs.

Material Review: Before incorporating any materials into our PD activities, our team thoroughly reviews each resource to ensure its relevance, accuracy, and compliance with copyright laws. We verify that the material is original to either our organization or the instructor(s) involved.

OT4ADHD strictly adheres to the guidelines established by the Copyright Clearance Center (CCC). We ensure that all necessary permissions and licenses are obtained from the CCC or directly from copyright holders to use copyrighted materials in our PD activities.

Permission Verification: If the material is not original to our organization or instructors, we obtain explicit permission from the copyright holder to use the material in our PD activities. This may involve contacting the copyright holder directly or obtaining permission through licensing agreements or other formal channels.

To obtain permission for reproducing copyrighted works outside of OT4ADHD LLC employees should request permissions online through CCC’s Marketplace website or contact the Rights and Licensing Department of the copyright holder. Questions regarding copyright procedures should be directed to the designated copyright officer.

Documentation: We maintain detailed documentation of our copyright clearance process, including records of permission obtained, licensing agreements, and any relevant correspondence with copyright holders. This documentation serves as evidence of our compliance with copyright regulations.

Copyright Clearance Center Guidelines: OT4ADHD LLC strictly adheres to the guidelines established by the Copyright Clearance Center (CCC). We ensure that all necessary permissions and licenses are obtained from the CCC or directly from copyright holders to use copyrighted materials in our PD activities.

Instructions for Handling Copyright Infringement: OT4ADHD LLC expects its employees to be responsible consumers of copyrighted materials and encourages education on copyright compliance. Any potential copyright infringement witnessed by an employee should be reported to the individual involved and to the designated copyright compliance officer. Employees found to be illegally duplicating copyrighted works may face disciplinary action, including termination.

Regular Review: Our copyright policy and processes are regularly reviewed and updated to reflect changes in copyright laws and regulations. We stay informed about any updates or revisions to copyright guidelines to ensure ongoing compliance

Disclosure Policy 

OT4ADHD will maintain.a disclosure policy that entails that in advance of the activity, the provider and instructor disclose financial and non-financial interest in any product, instrument, device, service, or material discussed during the activity and the source of any compensation related to the presentation (if indicated). 

OT4ADHD will include a disclosure regarding financial and non financial interests directly in the speakers biography and on the first slide in the presentation. Speaker will be notified of the discourse policy in writing and required to include information prior to the activity. 

OT4ADHD will ensure that AOTA CEU’s will not be awarded for PD activities that primarily focus on product or service promotion. 

OT4ADHD will provide free of charge any of the OT4ADHD assets /visual supports used in the learning activity as part of the professional development activity. To ensure the integrity of the educational content with a focus on evidence-informed and occupation-centered practice, learners will not be directed or marketed to purchase any additional materials used in the presentation or by the presenter.

Our commitment to excellence drives every aspect of our professional development offerings, ensuring that participants receive valuable insights and practical strategies that positively impact their practice.

The PD activities provided by OT4ADHD LLC are directly aligned with our mission of empowering occupational therapists and related professionals to better support individuals with ADHD. By offering evidenced-based knowledge, tools, and resources, our professional development activities equip practitioners with the specialized expertise needed to facilitate participation and performance for individuals with ADHD. Through these activities, we strive to uphold our commitment to excellence and to provide practitioners with the skills and strategies necessary to make a meaningful difference in the lives of those they serve.

Special Needs Requests: 

OT4ADHD LLC will establish a comprehensive process to ensure the accessibility of learning content and the learning environment for all participants, including those with special needs. Learners will be provided with an opportunity to identify any special needs or accommodations required in advance of the activity, and appropriate measures will be taken to accommodate these needs. This may include providing alternative formats for materials, ensuring physical accessibility of the venue, and utilizing accessible technology platforms for distance learning. Requests for accommodation will be handled with sensitivity and confidentiality, and accommodations will be provided in accordance with the Americans with Disabilities Act (ADA) guidelines to ensure equal access to the learning experience for all participants.

OT4ADHD LLC will make accommodations following the Americans with Disabilities Act (ADA). If you require specific accommodations because of a disability, please email lflynn@ot4adhd.com at least 10 calendar days before the course date to make appropriate arrangements.

Cancellation Policies 

By OT4ADHD LLC:

Learners will have access to contact information for activity cancellation prior to registration. Training may be canceled if no more than 5 registrations have been received 24 hours before the training or when a speaker emergency arises. Refunds for the full amount paid will be credited to accounts within 24 hours of cancellation.

  • First-time presentations: Refunds for the full amount paid will be credited to accounts within 24 hours of cancellation. Learners will be notified by email before the training start time.
  • Repeat presentations: A refund will not be issued since the previously recorded version is included with each purchase and cannot be deleted from the account.

Participants must reply to verify receipt of the email notifications.

By Participants :

Participants may cancel registrations up until the start time of the live course. Refunds will be issued upon request via email with your course information. 

Complaint Resolution: 

OT4ADHD LLC will work to resolve all complaints made known on course evaluation forms. Full refunds will be given to registrants who experience technical difficulties or express dissatisfaction with the course at any time before completing the post-test. Refund requests may be emailed to LFlynn@ot4adhd.com.

Informing Learners About the Complaint System

  • Initial Notification: At the start of any educational program, learners are informed about the complaint resolution process through multiple channels, including the course syllabus, orientation sessions, and the OT4 ADHD website.
  • Accessible Information: Details about how to register/document a complaint are available on the OT4 ADHD website, within the learning management system (LMS), and in printed materials provided during orientation.

Submitting a Complaint

  • Complaint Form: Learners can submit a complaint via an online complaint form available on the OT4ADHD website and within the LMS. A paper form is also available upon request.
  • Required Information: The form requires details such as the learner’s name, contact information, the nature of the complaint, dates, involved parties, and any relevant documentation or evidence.

Acknowledgement of Complaint

  • Confirmation of Receipt: Upon receiving a complaint, the system automatically sends an email acknowledgment to the learner, confirming receipt and outlining the next steps in the process.
  • Time Frame: The acknowledgment is sent within 24 hours of receipt of the complaint.

Investigation Process

  • Assigning an Investigator: Lori Flynn , sole owner of OT4ADHD acts as the Complaint Resolution Officer (CRO) to investigate the complaint.
  • Information Gathering: The CRO reviews the complaint details, gathers additional information, interviews relevant parties, and examines any supporting documents.
  • Confidentiality: All information related to the complaint is treated with the utmost confidentiality and is shared only with individuals directly involved in the resolution process.

Decision and Resolution

  • Evaluation: The CRO evaluates the gathered information and determines the validity of the complaint.
  • Decision Making: Based on the evaluation, the CRO makes a decision regarding the complaint and outlines the steps for resolution, which may include corrective actions, mediation, or further investigation.

Communication of Decision  

  • Written Notification: Once a decision is rendered, the learner is informed of the decision and the resolution steps through a formal written notification. This notification includes:
    • A summary of the investigation findings.
    • The decision that was made.
    • Any corrective actions to be taken.
    • Information on the appeal process, if applicable.
  • Time Frame: The written notification is sent within 10 business days of the decision being made.

Record Keeping

  • Documentation: All records of the complaint, investigation, decision, and communication with the learner are documented and securely stored in the OT4ADHD LLC complaint management system . 
  • Retention Period: Records are retained for a minimum of five years to ensure compliance and for future reference.

 Appeal Process

  • Appeal Submission: If the learner is not satisfied with the decision, they may submit an appeal in writing within 15 business days of receiving the decision notification.
  • Review of Appeal: A different, impartial senior officer reviews the appeal, re-evaluates the case, and makes a final decision.
  • Final Notification: The learner is informed of the final decision in writing within 10 business days of the 

AOTA Continuing Education units (CEUs) and Contact Hours

OT 4 ADHD LLC is an AOTA Approved Provider of professional development AOTA Approved Provider # 0000000927‍. 

OT4ADHD LLC’s system for awarding AOTA continuing education units (CEUs) to participants who successfully complete professional development (PD) activities ensures compliance with AOTA guidelines and includes the following key components:

APP Statement: Approved PD activity publications and certificates of completion prominently feature the APP logo or imprimatur and include the APP statement provided by AOTA, as per guidelines.

Calculation Process: We calculate AOTA CEUs based on the total length of the activity, excluding non-educational time such as meals and breaks. Professional Development activities are a minimum of one hour in length. OT4ADHD LLC will not retroactively grant AOTA CEUs.

One (1) AOTA CEU is the equivalent of ten (10) contact (clock) hours, excluding meals, breaks, or other non-educational time. In order to apply AOTA CEUs to a professional development (PD) activity, it must be at minimum 1 hour in length. The smallest increment that can be assigned to a course is .025 AOTA CEUs or .25 hours (15 minutes).

Time-controlled Activities:For Live PD activities and Distance Learning—Interactive activities, an exact run time is used. Additionally, 5 minutes can be added per 10 test questions. For Distance Learning—Independent PD activities, we utilize a valid formula such as the Mergener Formula to determine the run time.

Partial Credit: Our system tracks, calculates, and awards variable credit for learners who do not complete an entire activity.

Completion Requirements: 

Participants must complete all of the challenges for each module with successful completion of the learning outcome assessment, post-test (≥ 70%) and post-evaluation .

Participant must sign the attestation statement verifying the learner viewed the webinar in its entirety and completed the post-test independently . In addition to attendance and learning outcome assessment requirements, post-evaluation must be completed to satisfy completion requirements. 

Certificates of Completion:

Certificates accurately reflect course and learner information, including provider details, course title, date, and location, learner name, credits awarded (both AOTA CEUs and contact hours), and the name, title, and signature of the Provider APP CE administrator.

At OT4ADHD, we employ a secure process for maintaining learners’ records. Our system utilizes a password-protected website with two-factor authentication for access, ensuring the privacy and security of learner records. Additionally, we back up all records on Google Drive for added data redundancy and security.

Retention Policy: OT4ADHD maintains permanent records of all AOTA CEUs earned by learners. Our written policy ensures the privacy and security of learner records and specifies the retention period of at least 7 years.

Learner Records: We maintain a permanent record for each learner who successfully completes an activity, recording the number of AOTA CEUs earned. Cumulative records of all AOTA CEUs earned are available for a minimum of 7 years and can be provided upon request.

Verification of Identity: Our policies include procedures for verifying learner identity when replacement records are requested, ensuring compliance with privacy regulations and safeguarding learner information.

Record Components: The permanent record maintained by OT4ADHD includes essential information such as provider name and address, learner name and contact information, activity details (title, type, dates), AOTA CEUs awarded, instructor information, and assessment scores if applicable.

Complaint Records: We maintain a record of all complaints, both resolved and unresolved, filed against our organization, as part of our commitment to transparency and accountability.

Record Replacement

This policy outlines the process for learners to request and receive replacement records for their participation in OT4ADHD’s continuing education activities. It ensures the privacy and security of learners’ information through stringent identity verification and consent procedures.

Submission of Request: Learners must submit a written request for replacement records to OT4ADHD via email, mail, or the designated online form.The request must include the learner’s full name, contact information, and details of the specific records being requested.

Required Information: The request must contain the following information:

  • Learner’s full name
  • Contact information (address, email, or phone)
  • Activity title(s)
  • Type of activity (e.g., workshop, online course, self-study)
  • Start and completion date(s) of the activity, Instructor(s) name(s) and credentials

Identity Verification Process:Learners must provide a copy of a government-issued ID (e.g., driver’s license, passport) to verify their identity. OT4ADHD LLC will cross-check the provided ID with the existing records to confirm the learner’s identity.

Additional Verification Steps: In cases where further verification is necessary, OT4ADHD may request additional documents or contact the learner via phone or video call.

Consent for Release of Information:  Learners must provide written consent for the release of their records. This can be done through a signed consent form or an email explicitly stating their agreement.

The consent must clearly specify which records are to be released and to whom, if applicable.

Record of Consent: OT4ADHD LLC will maintain a record of the learner’s consent along with the replacement record request.

Processing Time: OT4ADHD LLC will process requests for replacement records within 10 business days of receiving the completed request and necessary verifications.

Delivery of Records: Replacement records can be provided electronically (via secure email) or in printed form (via mail), based on the learner’s preference.

Fees: No fees are associated with record requests. 

Storing: Certificates are stored on a company Google drive for 7 years whether generated manually or electronically. They are only made available to the learner or to other agencies upon email request by the learner. Consent Documentation: Learners must provide written consent for the release of their records. This can be done through a signed consent form or an email explicitly stating their agreement. The consent must clearly specify which records are to be released and to whom, if applicable.

Confidentiality: Information will only be released to the requesting learner or a third party if explicit written consent has been provided by the learner. 

Post Evaluation: 

OT4ADHD LLC conducts a post-evaluation for each professional development (PD) activity. We provide feedback to each participant and encourage honest and detailed post evaluation so we can continue to improve upon our course offerings. 

OT4ADHD LLC creates a summary evaluation for each PD we offer to inform the planning and development of future PD activities. Specifically, the insights gleaned from the evaluation are used to refine the content, instructional methods, and delivery format of subsequent offerings.
